Job Description:

Boulder County Community Services and Head Start is seeking to hire an Administrative Specialist.  The Administrative Specialist performs a variety of professional analysis, support and coordination duties. The primary duty of position includes the exercise of discretion and independent judgment with respect to matters of significance.  This position is responsible for self-directed administrative project management for Boulder County’s Head Start program including but not limited to, contract management for services, billing and invoicing,  file maintenance and archiving, and volunteer coordination, with a careful eye for efficiency and effective program practices.

Responsibilities:

  • Recruiting, onboarding and maintaining volunteer program
  • Managing program data and data systems, including ensuring quality control in data collection and management and working with department data evaluation team
  • Managing archiving of program data and client files in concert with state and federal PII requirements
  • Managing program’s external public communications plan, including social media tool management
  • Manage program contracts, including billing and payments
  • Personnel file management
  • Manages and responds to assigned administrative help request tickets on-time and accurately, with attention to detail
  • Performs related duties, as required
  • May be reassigned during emergency situations

Requirements:

  • Bilingual/Bicultural in Spanish and English
  • Project management experience
  • High-level Microsoft Office products experience
  • Working knowledge of governmental structure and budget process
  • Ability to do research on a variety of issues and topics
  • Ability to work with a variety of groups and make presentations
  • Ability to work effectively with other employees, agencies and the public
